yesterday we have released a minor update of Fleetrun.

Now it has become possible to set up notifications in regards to services not only for fleet admins but also for regular users. It only requires a separate right to be granted.

Dear partners,

On Friday we have finally finished working on the functionality of data import from a file. It has become possible to import intervals (besides services and line items that were available for import previously).

The general scenario of importing intervals is basically the same as in importing services and line items.

I want to pay your attention to how the dropdown for selecting the corresponding columns operates:

- selection of interval type is required, minimum one interval type should be selected. However, it is necessary to note that in case the type of interval is 'by time', then when importing the system will consider as valid those intervals that have only ONE option selected: days/weeks/months/years. If you look at creation of intervals from the intervals, you will see that we are sticking to the same logic in both places.

- for each specified interval type it is possible to specify the import of the Last service value.

This functionality was implemented upon the request of many of our partners, but as soon as we started the development we found out that there is nobody that could actually share with us some sample file with intervals that are potentially (in real life) are subject to import into Fleetrun. In case you have such files, we will be glad if you send them to mars@gurtam.com. We are interested in studying such files so that we can estimate how close to reality import works in Fleetrun and what can be improved.

Dear partners,

we have delivered another update of Fleetrun and implemented the following enhancement: now it has become possible to pull the values of mileage and engine hours for the period prior to adding a unit to the fleet.

Till this update, we were starting to receive data on mileages and engine hours only after the unit was added to the fleet. On the other side, we allowed migrating/import data on fulfilled services (with costs) for any period. As a result, it turned out that such a value as 'cost per km/mi' was not calculated correctly. With the new feature, this behaviour will be fixed.

Besides, sometimes we were getting the invalid data from Wialon (let say a user manually changed the mileage value to some incredible number) and making corrections was only possible with the help of developers (so that the corresponding peak is not displayed in graphics). This update will provide such an ability for any administrator of the fleet in the fleet settings:

Hi all!

On Friday we have delivered a small update of the application, after which it has become possible to specify not only the date on which the service was performed, but also particular hours and minutes. Such an enhancement is valuable for two cases:

- in the upcoming services there is now information about the time for which the services are planned and users can plan fleet capacity and workload;

- in the closed services it is necessary to have data on how many days, hours and minutes the unit spent in service (currently when a service is started and finished on the same date we count it as a whole 1-day service). This means that the duration of the services becomes more precise. Besides that, such a functionality is useful for calculating some custom metrics which require specifically the number of hours spent in service.

So the changes are the following:

1) you can now specify the time format in the user settings:

2) the ability to specify the hours/minutes is located in the service registration screen (it is valid for each status of service), just click the field titled Service time:

3) service time is displayed in the list of upcoming services (screen Services and reports) whereas for closed services the system displays the calculated duration of services taking into account the specified hours and minutes (screen Services and reports):

Dear all!

We’ve just released the next Fleetrun update. Now you can create additional notifications for manually created upcoming services.

This functionality will be useful for additional information about the upcoming service. Since the upcoming service is planned for a month in advance or more, it will be displayed in the list of services, but forgetting it is quite simple.

To receive additional notification about the upcoming service, you need to activate the “Additional notification about upcoming service” checkbox and set the number of days before the service.

Hello!

We're continuously working to improve your Fleetrun experience, here's a description of what has changed.

  • Service: Custom fields creation by administrator
  • Service: Custom fields filling in by user
  • Report: Execute reports by custom fields

1. Service: Custom fields creation by administrator
From now on, you can add custom fields that are applicable for your particular fleet to "Service". This functionality is supposed to make service data more complete.

Please pay attention that custom fields can be added to services with a service object of the Unit type.

In order to add a new field you should:

  • open "Administration" panel
  • open "Custom fields" tab
  • click "New configuration" button

You can create text field if you want to store free text value. Also, you can create a list with some identified values in advance.

2. Service: Custom fields filling in by user
As soon as you have saved custom fields in administration panel you can fill them in when create or edit Service where a service object of the Unit type. Accordingly, you can already store the necessary data.

Moreover, you can fill in custom fields in some services at once using "Bulk operations" functionality in Services tab.

3. Report: Execute reports by custom fields
Also, you can execute report by custom field in order to see all the services where it is filled in. Moreover, you can apply sorting for custom field values if needed.

This functionality can help you to store data by custom fields for further analysis.

1. Service: Service date prediction by mileage, engine hours and time

From now on, the system can predict service date on the basis of mileage, engine hours and time. These data are gathered for some days, analyzed and consequently assisting in prediction of an interval date.

This functionality makes possible to sort services by urgency and plan fleet capacity more thoroughly.

Now, you can filter services by mileage, engine hours and time. This way you can see upcoming services by the selected type not only all together.

1. Services: Custom fields in the list of services
From now on, you will be able to see custom fields in the table on Services tab. Moreover, you will be able to sort services by custom fields.
This functionality allows to see values of custom fields for some services at once. You should not open them one by one.
Also, you will be able to export services with custom fields to .csv file if you need them to analyze out of Fleetrun.

As of now, you can fill in 1000 symbols into "Notification text" field when create a new notification or edit an existing one.

  • Service object: Mileage from the start of operation
  • Service object: Cost per 1 km for a selected period
  • Reports: Cost per 1 km by fleet and unit
  • Translation to Serbian

1. Service object: Mileage from the start of operation
From now on, you will be able to enter a mileage from the moment you started to operate the vehicle Unit: Unit profile page.
It means that you will see two mileages on unit page:

  • Total mileage - counted from the moment the vehicle is bought. It is the odometer reading. Previously it was called: Current mileage.
  • Actual mileage - counted from the moment you started to operate the vehicle.

To calculate the actual mileage should do the following:

  • Actual mileage = Total mileage - Mileage from the start of operation

To calculate the cost per 1 km you should do the following:

  • Cost per 1 km = Total cost / Actual mileage

This functionality will help to make the calculation of the cost per 1 km more transparent and clear.

2. Service object: Cost per 1 km for a selected period
Now, you can check the cost per 1 km by fleet and unit for a particular period that you have selected both on Dashboard and Unit: Unit info page.

It will help you to compare expenses month by month, quarter by quarter and etc. Moreover, you can compare your planned expenses to the real ones and plan them even more effectively. 

3. Reports: Cost per 1 km by fleet and unit
As of now, you will be able to execute a new type of a report by a new types:

  • Cost per 1 km by fleet
    • Cost per 1 km by unit

This way you will see which vehicle requires more expenses in comparison to other ones.

From now on, you can execute more detailed report that includes particular service line items.

It means that you can see not only the cost of labour or part in a service but also a name of line item, its type, number, cost and etc.

This functionality will help you to analyse what part or labour is of high demand in you fleet. Having this information you will be able to reduce your fleet cost by planning its expenses in advance according to report data.

Now, you have more opportunities for grouping report by line items. You can group it by service, line item and line item type.

1. Administration: Warning about object deletion from fleet
From now on, you will see a warning when delete an object from a fleet. The warning says that after saving the deletion the appointments and history of services will be removed together with the deleted object.

It is shown only once in a session in order to inform you about consequences in advance and prevent accidental deletion.

The functionality of fuel filling creation is very similar to services creation. Moreover, you will be able to see the list of fuel fillings in your fleet on a separate tab that is called "Fuel fillings".

This functionality will make cost accounting for your fleet even more complete.

From now on, you can select the unit of measurement for fuel in you particular fleet. You can set it in Administration panel on "Fleet settings" tab.

Now, there is a new "Fuel" tab in Line items library. Here you can create fuel types you usually fill your vehicles with.

You can add fuel types by clicking on:

  • Add button - creates fuel type one by one manually.

This functionality lets you to create fuel fillings faster as you will be able choose a fuel type from the list.

Now you can create, edit and view the list of fuel fillings not only on "Fuel fillings" tab but on "Unit" page as well.

This functionality will help you to manage your fleet units in one place. For example, create services and fuel fillings for a particular unit with no need of navigation between tab of the main menu.

This report shows you detailed data about fuel fillings for some objects at a time. Also, you can use export functionality to have the report out of the system.

1. Fuel fillings: Export
From now on, you can export fuel fillings you have created in Fleetrun.

This way you will have exported list of fuel filling out of Fleetrun. Moreover, this exported file shows you an example how to compose a file for fuel fillings import.

2. Fuel fillings: Import
Nowadays, you can import fuel fillings to Fleetrun!

This functionality will help you to create some fuel fillings at once. All in all now, you have two options for fuel filling creation:

  • via "Create fuel filling" button on any of  "Fuel fillings" tab
  • via "Import" button on "Fuel fillings" tab that will save a lot of your time

What is more, when import fuel filling the system helps you to count "Total cost" of fuel filling as soon as you select "Volume" and "Cost per 1" columns which values are numerals.

3. Fuel fillings: Change of units of measurement
Now, when you change units of measurement for fuel, the total cost of the fuel filling won't change.

Liters will be converted to gallons or vice versus and cost per 1 will be recalculated but total cost will remain as it has been before.
